Principal Clerical Officer

JOB REQUIREMENTS

For appointment to this grade, a candidate must have: –

  1. Served in the grade of chief clerical officer for a minimum period of three (3) years;
  2. Kenya certificate of secondary education (KCSE) mean grade C- (minus)or its equivalent qualification;
  3. Supervisory skills course lasting not less than two (2) weeks from a recognized institution;
  4. Certificate in any of the following disciplines: human resource management (HRM), Business Administration, Kenya Accounts Technician Certificate (KATC), Supply Chain Management or Records Management lasting not less than six (6) months from a recognized institution;
  5. Passed the proficiency examination for clerical officers;
  6. Certificate in computer application skills from a recognized institution;
  7. Shown merit and ability as reflected in work performance and results.
JOB DESCRIPTION

Duties and responsibilities;

This is the highest grade in the cadre. An officer at this level will supervise a group of Clerical Officers in a specific area of deployment.

  1.         Verifying compiled statistical records for accuracy;
  2.         Coordinating processing of human resource records and accounting transactions;

iii.        Ensuring maintenance of efficient filing system;

  1.         Safe custody of  invoices, receipts vouchers and related records;
  2.         Processing appointments, promotions , discipline cases, transfers and other related  duties in human resource management;
  3.         Verifying payment vouchers;

vii.        Computing financial or statistical records based on routine or special sources of information;

viii.        Drafting complex routine correspondences;

  1.         Drafting indents for advertisement;
  2.         Processing pension documents;
  3.         Processing  documents for issuance of academic records;

xii.        Inducting new clerical personnel; and

xiii.        Monitoring and guiding other clerical officers.
