Job Description

Senior Assistant Office Administrator Job Grade Cue 7

Duties and responsibilities will entail: –  

  • Recording dictation in shorthand and transcribing it in typewritten form;
  • Drafting and typing routine letters and memos;
  • Ensuring the security of office equipment, documents and records;
  • Attending to visitors or clients;
  • Maintaining an up to date filing system in the office;
  • Handling telephone calls, diary and appointments;
  • Arranging for meetings and preparing the necessary materials for the discussion;
  • Reporting on any need for office repairs and requesting office stationery;
  • Supervising office cleanliness;
  • Managing office protocol and etiquette;
  • Organizing travel arrangements; and
  • Maintaining a register of outgoing and incoming files and mail.

Person Specifications  

For appointment to this grade, an Officer must have:

  • Diploma in Secretarial Studies from Kenya National Examinations Council (KNEC) or its equivalent from a recognized institution or  Business Education Single and Group Certificates (BES & GC) from the Kenya National Examinations Council in the following subjects with a minimum of four (4) years relevant work experience:
  • Typewriting III (Minimum 50 w.p.m.)/Computerized document processing III;
  • Shorthand II (80w.p.m);
  • Business English II/Communications I;
  • Office Practice II;
  • Secretarial Duties II;
  • Commerce II;
  • Office Management III/Office Administration and Management III;
  • Proficiency in computer application from a recognized institution;
  • Demonstrated good results in work performance; and
  • Fulfil the requirements of Chapter Six of the Constitution

The Successful candidates will be required to provide the following documents before the award of offer in compliance with Chapter 6 of the Constitution of Kenya, 2010:

  • Valid Certificate of Good Conduct from the Directorate of Criminal Investigations (DCI).
  • Clearance from the Ethics and Anti-Corruption Commission (EACC).
  • Tax Compliance Certificate from Kenya Revenue Authority (KRA).
  • Clearance Certificate from the Higher Education Loans Board (HELB).
  • Clearance Certificate from an approved Credit Reference Bureau (CRB).
