Job Description
Human Resource & Administration Assistant – (1 Position)
Reporting: To the Human Resource & Administration Officer
Department: Human Resource & Administration
Location: Head Office
Terms: Permanent and Pensionable
Job Grade: 7
Job Summary
The Human Resource & Administration Assistant will support the implementation of HR and administrative functions in line with the Society’s Human Resource policies and procedures. The role will assist in daily operations related to employee records, recruitment support, welfare programs, office logistics, and compliance with statutory and policy requirements.
Duties and Responsibilities
- HR Support Functions
- Assist in the implementation and adherence to HR policies and procedures.
- Maintain accurate and up-to-date employee records and personnel files, both physical and electronic.
- Provide support in the administration of staff benefits including leave, medical, and pension schemes.
- Assist in preparing HR documentation including contracts, letters, reports, and minutes.
- Recruitment and Onboarding
- Support recruitment logistics including advertisement, shortlisting, interview coordination, and candidate communication.
- Assist in orientation and onboarding of new staff, ensuring relevant forms, policies, and documentation are completed and filed.
- Maintain updated job descriptions and recruitment records.
- Performance Management
- Support the coordination of the performance appraisal process by tracking submissions and filing completed appraisals.
- Maintain performance records and assist with scheduling training as identified during appraisals.
- Training and Development
- Maintain training records and assist in the coordination of internal and external staff training activities.
- Assist in evaluating training feedback and reporting on training outcomes.
- Payroll and Benefits Administration
- Prepare and submit monthly payroll inputs including new joiners, exits, and changes in salary/benefits.
- Assist in tracking staff leave, absenteeism, and time off and filing monthly leave reports in individual staff files.
- Prepare staff benefits reports and ensure timely remittance of statutory deductions (NHIF, NSSF, PAYE, etc.).
- Administrative Support
- Coordinate office administrative functions including office supplies, utilities, filing, and equipment maintenance.
- Support travel and logistical arrangements for staff and meetings.
- Assist in fleet coordination by tracking vehicle usage and fuel consumption.
- Compliance and Reporting
- Ensure all HR records and processes adhere to data protection and confidentiality standards.
- Assist in the preparation of HR reports, such as staff movements, leave reports, and training summaries.
- Deputize the Human Resource & Administration Officer.
- Other Duties
- Perform any other lawful duties assigned by the HR & Administration Officer or Management from time to time.
Experience, Knowledge and Abilities
Minimum Qualifications and Experience
- A Diploma in Human Resource Management, Business Administration, or a related field.
- KCSE C+ and above
- A minimum of 2 years’ experience in a similar HR support role, preferably in a financial or cooperative institution.
- Membership in IHRM will be an added advantage.
- Proficient in MS Office and basic HR Information Systems.
- Knowledge of Kenyan labour laws and HR best practices.
