Human Resource & Administration Assistant – (1 Position)

Reporting: To the Human Resource & Administration Officer
Department: Human Resource & Administration
Location: Head Office
Terms: Permanent and Pensionable
Job Grade: 7

Job Summary

The Human Resource & Administration Assistant will support the implementation of HR and administrative functions in line with the Society’s Human Resource policies and procedures. The role will assist in daily operations related to employee records, recruitment support, welfare programs, office logistics, and compliance with statutory and policy requirements.

Duties and Responsibilities

  1. HR Support Functions
  2. Recruitment and Onboarding
    • Support recruitment logistics including advertisement, shortlisting, interview coordination, and candidate communication.
    • Assist in orientation and onboarding of new staff, ensuring relevant forms, policies, and documentation are completed and filed.
    • Maintain updated job descriptions and recruitment records.
  3. Performance Management
    • Support the coordination of the performance appraisal process by tracking submissions and filing completed appraisals.
    • Maintain performance records and assist with scheduling training as identified during appraisals.

  5. Payroll and Benefits Administration
    • Prepare and submit monthly payroll inputs including new joiners, exits, and changes in salary/benefits.
    • Assist in tracking staff leave, absenteeism, and time off and filing monthly leave reports in individual staff files.
    • Prepare staff benefits reports and ensure timely remittance of statutory deductions (NHIF, NSSF, PAYE, etc.).

Experience, Knowledge and Abilities

Minimum Qualifications and Experience

  • A Diploma in Human Resource Management, Business Administration, or a related field.
  • KCSE C+ and above
  • A minimum of 2 years’ experience in a similar HR support role, preferably in a financial or cooperative institution.
  • Membership in IHRM will be an added advantage.
  • Proficient in MS Office and basic HR Information Systems.
  • Knowledge of Kenyan labour laws and HR best practices.
