Job Description
Senior Administration Officer I- Kenya-AIST Grade 6
Duties and responsibilities at this level will entail: –
- Coordinate and oversee administrative functions across assigned divisions or units at Kenya-AIST.
- Ensure effective document management systems, including filing, retrieval, and confidentiality of records;
- Manage office correspondence, including dispatch registers and communication tracking systems.
- Support the preparation of departmental work plans, reports, minutes, briefs, and institutional records.
- Organize and provide logistical support for internal and external meetings, events, and functions.
- Monitor office operations and ensure availability of supplies, equipment, and other administrative resources.
- Implement and enforce administrative policies, circulars, and service delivery guidelines across departments.
- Promote compliance with government regulations, institutional standards, and operational procedures.
- Support internal communication flow and inter-departmental coordination across the Institute.
- Participate in institutional committees and task forces as assigned.
- Support staff training, induction, and performance appraisal processes.
- Any other duty that maybe assigned from time to time.
Senior Administration Officer
For appointment to this grade a candidate must have:
- Served for a cumulative period of at least ten (10) years relevant work experience, two (2) of which must be post Master’s degree qualification work experience;
- Master’s Degree in a relevant field from a recognized institution;
- Bachelor’s Degree in any of the following disciplines: Public/Business Administration, Human Resource Management, Political Science, Psychology, Sociology or any other relevant and equivalent qualifications from a recognized institution;
- Proficiency in computer application skills, including Microsoft Office Suite, ERP systems, email and video conferencing tools, internet research, basic data management, and awareness of cybersecurity practices;
- Membership to a relevant professional body is an added advantage;
- Shown merit and ability as reflected in work performance and results;
- Knowledge of data protection laws is an added advantage, and
- Work experience in a higher education institution is an added advantage.

iii. Successful candidates will be required to provide clearance from (a) Kenya Revenue Authority, (b) Higher Education Loans Board, (c) Ethics and Anti-Corruption Commission, and (d) a Certificate of Good Conduct from Criminal Investigation Department.
